Use collections to organize your catalog

Group related content automatically, no manual tagging or folders required.

A collection is a saved search that automatically gathers matching content under a tag or theme, such as a show name, a person or a recurring phrase. As new content comes in, anything that matches is added automatically, no manual work required.


Creating a collection

There are two ways to create a collection:

  1. From Collection Admin: go to the Collections page, open Collection Admin, and create a new collection directly.

2. From a search: run a search, refine it with filters until only the content you want appears, then click Save as Collection in the top right to turn those results into a collection.

Either way, you'll set:

  • Title: a separate title for English and French.

  • Default view: which view opens first when someone enters the collection, Moments (individual shots and sequences) or Media Files (full episodes or long-form assets), though they can still switch views once inside.

  • Moment type: which type of content to include.

  • Collection language: which language the collection searches in. This is separate from your interface language, and only affects which language's content the collection matches.

  • Organizations: which organizations can access the collection.

These settings define the collection's default view. Once it's created, you can still adjust filters from inside the collection.


Grouping collections into topics

A topic groups several related collections together, for example a "Full Show Catalogue" topic that brings related collections under one umbrella. Create a topic the same way, from Collection Admin, then drag a collection onto a topic to add it.


Browsing, refining and editing a collection

Once inside a collection, use the same search and filter tools as anywhere else in the platform: filter using the right panel, or search directly within it using the search bar.

You can also edit a collection at any time:

  • From Collection Admin, click the three-dot menu (⋯) next to the collection, then Edit.

  • Or open the collection page directly and click Edit.


Sharing a collection

  1. Open the collection you want to share and click Edit.

  2. Under Organizations to share with, select the organizations you want to give access to.

  3. Save your changes.

Sharing a collection only shares the collection itself, not its content.

To share specific media inside it:

  1. Open your collection.

  2. Switch to Media Files view.

  3. Select the media you want to share.

  4. A white bar appears at the bottom of the screen. Click Share with organization, choose the organizations to share with, then click Confirm.


Good to know

  • Creating a collection requires specific permissions. If you don't see the option, ask your workspace admin.

  • Carousel admin: click Carousel admin on the Collections page to add a banner image there. Activate more than one and they rotate as a carousel on the Collections page.
