Create and manage custom fields

Define the metadata that structures your catalog and powers search.

Custom fields are metadata fields your organization adds on top of the standard ones, for information specific to how you work, such as production details, content type or rights status. They can be filled in manually or populated automatically, and they're what let you filter, search and build collections around the details that matter to your catalog.


Where to find custom fields

Go to Settings, then select Custom fields from the Administration section in the left menu.

Use the Context dropdown to choose which set of fields you're viewing, and the Language dropdown to see how your custom fields will appear to users on a workspace set to a different language. Click Preview to see how your fields will appear on a media file or event.


Adding a custom field

  1. Click Add custom field.

  2. Give it a Field label in your workspace's default language, and its translation in each other language your workspace is configured for, for example English and French.

  3. Choose the Field type that fits the data you're collecting:

    • Text: free-form text.

    • Selection list: choose one value from a predefined list. Build the list by linking it to your thesaurus, or turn that off and add your own values instead.

    • Multiple selection list: choose several values from a predefined list, built the same way as a selection list.

    • Date: a single date.

    • Date and time: a date with a specific time.

    • File: attach a file.

    • Autocomplete: suggests values as you type, drawn from your thesaurus or from values already used elsewhere. An autocomplete field can also be scoped to a parent label, so it only suggests values from one label family, for example a "Series Season" parent suggesting only "Season 1," "Season 2" and "Season 3."

  4. Set the Restriction level: No restriction makes the field visible to everyone with access to the media. Internal limits it to internal users only. Admin limits viewing, editing and deleting the value to workspace Admins only.

  5. Toggle Enable field on to show the field in the interface — some teams leave this off for fields that only need to store data in the background without displaying it. Toggle Search filter on if you want the field to appear as a filter in search results.

  6. Click Validate.


Custom fields vs. custom groups

  • A custom field is a single metadata entry, like Content Type or Season.

  • A custom group, like Production, bundles several related fields into one collapsible section, so they're easier to scan when you're editing a media file or event. Grouping is purely visual, it doesn't change how the underlying data is stored.

Click Add custom field to create a standalone field, or Add custom group to create a folder of related fields. Each field or group has a drag handle to reorder it, and a three-dot menu for further actions.


How values flow from events to media

Every media file is the child of the event it belongs to, and always inherits the custom field values set at the event level. Fill in as much as you can when you create an event, it saves time later and makes your media easier to find. You can still set or override values for individual media files, for example the same Season value inherited from the event, with an Episode number entered per file.

Editing values on an event or media file

  • On an event: click the three-dot menu, then Edit event.

  • On a media file: click the three-dot menu and select Edit media info, or click the info icon on a media tile, then Edit.


Good to know

  • Creating or editing the custom fields themselves is typically an Admin-only task. If you don't see the option, ask your workspace admin.

  • AI-generated field values are a separate feature called Custom Insights, set up by a Moments Lab solution architect rather than configured here. See What Are Custom Elements?.
